Evendale Recreation Commission
October 17, 2013
Called to order at 7:35am.
Roll Call: John Doviak, Pamela Meyers, Katie Touvelle, Georgia Bergan, David Nichols, and Gus Janszen.
Excused Absent: Wayne Mosley, and Stiney Vonderhaar

Approval of Minutes:
David clarified the Kuechley tribute at Town Meeting will not be a jersey, but rather a collage of photos from Luke’s sports career. Assistant to the Mayor, Jack Cameron, is working on this project. Motion to approve the September minutes with clarification made by Pamela Meyers; seconded by Gus Janszen. Motion approved.

New Business:
Current and 2014 Operating Schedule with discussion
· Effect on attendance numbers has been minimal. Members who were pre-notified of the hours change in 2013 understood. No one has expressed a return to the former hours. Previously, patrons have expressed later hours during the summer (formerly closed at 9:00pm), and extremely few were here until 10:00pm in the winter. The change has been a nice year-round compromise.
Old Business:
a. Lifestyle Essentials – as noted in the packet
· On a fitness center note, David told Commission the cable broke on the Cybex Step Machine. He has budgeted for a new machine in 2014. He has asked Amy with Lifestyle Essentials, to ask members for feedback about a few machines to replace the “stepper.”
· Commission expressed a concern about the down turn in class participation for Lifestyle’s group fitness classes. Maybe a new variety of classes needs to be investigated. A new dance-style class is coming through our independent provider program. Georgia stated spinning numbers may be down because the LE’s instructors include “jumping” in class. This standing-up motion can cause hip, knee, and back strains if not done properly for an indoor, stationary bike.
b. Bike Master Plan
· Although not attending today, Stiney Vonderhaar sent, for Commissioners, several copies of the University of Cincinnati Master’s Program analysis report on the CACC bike pathway project.
· Soon, Village council will be asked to approve a resolution supporting the We Thrive movement to promote a healthy lifestyle of our residents through bicycling and walking. The acceptance of this resolution, and (hopefully) the Bicycle & Pedestrian Master Plan, is part of the grant process that CACC is planning to enter. Recreation Commission would like to encourage the City of Reading to also pass the We Thrive resolution thus furthering the bicycle pathways. David plans to present the Bicycle & Pedestrian Master Plan to council early next year for their adoption of the plan.
Director’s Report:
· In association with CACC, and the Queen City Bike Club, we will host a Bike Blinkie Installation event Saturday, October 19th, 10:00-11:00am, in front of the village administration building. Our fire department will sell bicycle helmets, too.
· Also this Saturday, October 19th, is our annual Halloween Fest from 6:00-10:00pm.
· New heating and cooling units are being installed for the south gym area. Once this project is complete, the south half of the recreation center will receive a new roof.
· Ken Puthoff, Evendale resident, has been named the 2013 Coach of the Year by the Ohio Parks and Recreation Association (OPRA). Ken will be recognized during the OPRA conference in February.
· David is out of town on November 21st when Commission is scheduled to meet next. He posed the question of commission meeting without him or to change the date of the next meeting. Commission agreed to meet on Thursday, December 5th, 7:30am.
· The evening of December 5th, the University of Cincinnati Master’s Program will present analysis 2.0 of the CACC pathway system. This presentation will be at the Boy Scout Center.
Phi Lambda Pi Report:
· Approximately thirty members have been attending; but attendance should increase after the current fall sports season ends.
· Recent activities include pop and popcorn, movies, ice cream, and hockey. With a “doll house” theme this year, the set-up for the Haunted Trail began last night. The trail is part of the Halloween Fest event and takes place in the lower storage room, the south gym, and the racquetball courts.
· Entertainment Books are still being sold by the group.
· Volunteers were supposed to help at Griffin Nature Preserve but the clean-up day was canceled.
· The annual Rake-n-Run service project takes place in November.
Open Discussion:
· The archery range had an arrow curtain installed. This curtain can be brought indoors during winter months. There are two tiers at the range, and the curtain covers both tiers. David has signage for the archery range.
· Next year, the department wants to place the participation agreement form online for patrons to complete and then submit to the department, electronically. David has a request in to the village’s IT person to discuss what is needed.
· Soccer field #2 is looking good and will re-open for play in the spring. While damaged on July 4th, soccer field #3 is coming back pretty well.
