Recreation Commission Minutes 10/27/05
Evendale Recreation Commission
October 27, 2005

Called to order at 7:33am.

Roll Call: Mike Flavin, David Nichols, Beth McDaniel, Michelle Gottschlich, Wayne Mosley, Mary Lou Isaac, Jeff Albrinck. Absent: Molly McMahon.

Motion to Approve Minutes made by Michelle Gottschlich; seconded by Beth McDaniel. Motion passed.

New Business: none

Old Business:
·Tri-Health Report – Brent Fields has replaced Katie Gioielli.
·Fees Sub-Committee Report
- A cost recovery pyramid was developed for setting fees. Program Supervisors will help finalize by assisting David in placing the individual programs & activities within the pyramid.
- David, Mike, and Beth should attend the Council Committee meeting to help answer any questions.
- This procedure will return to Commission in November for final approval.

Director’s Report:
·Halloween Fest attendance was approximately 650 people. Another great job by Kim Pielage and Nancy Hagner.
·Summary of the Evendale Trail Forum was passed around. Another forum will be held on Tuesday, December 6, 2005 at 7:00pm in the Recreation Center’s Activity Room. An article regarding the Evendale Trail appears in the October 26th edition of the Tri-County Press.
·People wishing to attend the winter & spring group fitness classes will have the opportunity to sign up for either individual classes or sign up to take a group of classes (Flex into Fitness).
·The RFP (Request for Proposal) for pool management was advertised last week and this week. The RFP for fitness center management is advertised this week and next week. Blue Ash and Springdale operate their own pools and have submitted their 2005 costs. Mason and Sharonville are compiling their costs and will get a copy to David when completed.
·A resident parent was recently suspended from a soccer game for bad behavior at a previous game. In addition to the suspension, the parent had to watch the PAYS video, again.
·Commission members are asked to consider naming the teen room: The Gene Martin Teen Room. This would recognize Gene for creating Phi Lambda Pi, and everything he did for Phi and the community.

Open Discussion:
·The displays in the Adult Gathering Room (Evendale Room) are beginning to detract from the room. All concerns should be addressed to Stiney Vonderhaar, Council Representative to the Historical Commission.
·David recently attended the National Recreation and Parks Association Conference in San Antonio, Texas. He returned with ideas regarding fee structuring and trail design.
·Website vs. Newsletter – Have we seen any effect? Yes. A postcard was recently sent out to all households which helped. Consider sending out a quarterly newsletter of recreation events to just Recreation members, or, a monthly postcard concerning recreation program registrations.
·Gorman Farm has cost estimates for their trails. Tom Shanks, the farm’s architect, would like to meet with the Recreation’s Trails Committee.
·Mary Lou asked Jeff what percentage, or amount, he thought Council would be willing to budget towards the project. At this time, Jeff could not give an amount; though, the Village’s contribution can be in the form of personnel, time, equipment, supplies, etc. Since we are not adding to roadways or sidewalks, this could be the village installing signage, trimming shrubs, etc. The figure always depends on the amount of benefit to the community. Mary Lou would like the committee to speak with Linda Fitzgerald, the Village Economic Development Director, regarding the grants she recently wrote.
