Evendale Cultural Arts Commission Meeting

In attendance: Members: Sue Apking, Sandi Cloppert, Kay Divis, Pat Haslit, Donna Knopp, Stiney Vonderhaar, Council Representative, Don Apking, Mayor, Susan Gordy, ECAC Director
A. Meeting was called to order by Director Gordy. Mrs. Divis presented the minutes from the July 12 meeting. With no corrections or deletions to be made, Mr. Vonderhaar moved to accept the minutes as given, Mrs. Cloppert second the motion.
B. Mrs. Divis presented the Treasurer’s report.
C. Old Business
1. Summer 2010 programs.
a. Calendar: Mrs. Gordy stated the Google calendar is up and running and everyone should be able to view the calendar.
b. Tracking Classes: Mrs. Gordy has made up sign up sheets for the recreation center which will include information concerning students who either work or live in Evendale so we can determine the number of residents using the facility, and attendance sheets for all teachers to keep track of the students who attend the class. Much discussion arose concerning the counting of the number of people who visit the center. Mrs. Divis stated that the students who sign up for a class are counted as one person as opposed to counting each time they attend the class. IE: Mrs. Haslit has 3 students who attend the art class every week for 6 weeks is counted as 3 people and
not 18. Mrs. Cloppert stated that the recreation center has sign up classes and each session a person attends is counted for each time they are in attendance which gives the recreation center a more accurate count of people who visit the center. It was discussed by the commission member that we should be counting the people the same way as the recreation center.
Mr. Vonderhaar feels the information for the center concerning the usage by business people will be a very valuable tool for the center.
2. Advertising in the Mayor’s Newsletter.
a. Director Gordy is providing the information to A to Z printing.
b. Website: Director Gordy has the minutes,
schedules, exhibits and classes all updated on the Evendale Website
3. Facility: Director Gordy stated she has met with Darla Kirchner a pottery instructor. She has numerous items that she is willing to sell to the Art Center. She said she is more than willing to assist the art center in setting up our Pottery Room. Ms. Kirchner has a single phase kiln which is available for $850.00 and a dip tank for $250.00. Mrs. Kirchner would be able to have our pottery room up and running by the late fall session. Mr. Vonderhaar suggested we contact Mr. Mechley from the village and have him check to be sure the room would be able to handle the single phase kiln.
a. Mayor Apking feels that we will need to do additional renovation to the room to accommodate the class and the budget is going to be reviewed in the next several weeks and we will have to wait and see about the renovation of that room. (The old kiln in the corner is not any good and should be removed from the room. It can’t be used because of its condition)
b. Mrs. Haslit stated that John Hebenstreit would be interested in working in the “furnace room” with his sculpture, however, we will need to upgrade the room.
c. Mrs. Cloppert received an email concerning some classes that are offered in another state. Some of them are just one day sessions, like a girl’s day out. She will forward the email to the commission members.
d. Elevator: No new information
Mr. Vonderhaar stated he did talk to the gentleman at Glendale and told him Director Gordy will be contacting him.
4. Exhibit
a. C. F. Payne. Mrs. Haslit reported that all is going very well. Soft drinks, beer, and Chili had been ordered and ready for the exhibit.
The commission members decided the chili will be parked outside and tables will be set up in the lower level for people to eat inside.
Director Gordy said she has a jazz trio playing for the event. The Princeton Jazz band was not available for the date but wants the commission to keep them in mind for other exhibits.
b. Bob Griffin’s exhibit: Mrs. Apking and Director Gordy will be in contact with Mr. Griffin to set up a time and report back at the next meeting. This may be scheduled for next year as there is not much scheduled in 2011.
c. Cultural Arts Day: Director Gordy has the Cultural Arts day ready and is scheduled for noon to 4:00 pm and will have the postcards sent to all residents by A to Z printing. Posters will also be placed at various places for advertising. She has sent out invitations to many artists and have some committed. At the beginning Mayor Aping will present his proclamation for the Cultural Arts Day, and Director Gordy has contacted the Princeton Drum Line to have them play and usher in the day. The committee will try to meet again to finalize the plans for the Day.
d. Vonderhaar Exhibit: Director Gordy has been in contact with Carrie and the scheduled date is December 17, 18, 19, 2010.
5. Interim Plans:
a. Director Gordy emailed all the instructors for additional classes and all but Mr. Bob Hebenstreit stated they wanted a few weeks off and he has extended his classes.
6. Calendar for 2011: Director Gordy presented the 2011 class schedule and the commission members thought we had discussed having one week in between each session. The one week in between will have the late session end December 3rd. The commission members decided to try the one week in between each session in 2011 and see if it will work for the instructors. She will redo the schedule and have it for the September meeting.
7. Budget: Director Gordy is working on the budget for the September Council meeting, with the assistance of Mayor Apking and Councilman Vonderhaar.
8. Key for South Door: Service department has been asked to change the lock, however, they have been so very busy it has not been done.
D. New Business: Background checks for all teachers. Director Gordy has been in contact with Recreation Department to have them do the checks for the commission.
a. New Instructors: Director Gordy interviewed Malinda Hartong concerning teaching Adobe Photoshop Elements, film editing either classes or private. Malinda has also offered to help Director Gordy on the technical problems with the web site, face book, etc. for a small fee. Mrs. Apking thought Malinda might be willing to have private lessons concerning one problem each person would have on their own computers. Director Gordy also interviewed Darla Kirchener for painted ceramics, see notes above on kilns for more information on Darla.
b. Teachers Handbook: The book is updated and will be printed out for the teachers.
c. Director Gordy stated there was a problem with a young man had signed up for a private lesson and only had 1 or two lessons. Apparently there was a lack of communication between the young man’s grandma who paid for the classes and the instructor. Payment was made in full to the instructor, and the student did not get all the lessons and has moved out of the city. Per Mayor Apking we are to refund the amount of money owed to the student’s grandmother. Directory Gordy to make contact with the grandmother to determine the exact number of classes received.
d. Director Gordy stated the new 8 foot tables we have purchased for use are extremely heavy and at times we cannot get in touch with the service department to move them for us. The commission members agreed to have Director Gordy check into lighter weight tables to be kept in the lower level, and the larger tables to remain upstairs
e. Pat Haslit: Tom Post has expressed an interest in having a workshop on a Saturday and Sunday. He will have Oil and Drawing and will bring his own floor covers. Mrs. Haslit will contact Mr. Post to set up times and dates.
f. Director Gordy stated that sooner or later she will have to have another office. Currently she moves out of the office to the large studio when the guitar students arrive and come into the room. For now she is working quite a bit out of her home.
g. Director Gordy have given new signup sheets to the recreation center which includes information for working or living in Evendale.
With no further business to attend to the meeting was adjourned. Next meeting, Monday, September 13, 2010, 10:00 am.
