TRUSTEES MEETING 1.28.17

1. CALL TO ORDER: The meeting was called to order at 9:05 a.m.
2. PRESENT: Dave Payor, Deb DeJonker-Berry, Mary Shaw, Sharon Krause
3. GUESTS: Sheila Vanderhoef, Aimee Eckman, Al Alfano, Debbie Abbott
4. MINUTES: The minutes of the January 14th, 2017 meeting were approved
5. FINANCIAL REPORTS: None
6. DIRECTOR’S REPORT: The art exhibit is going well. There were 32 people in attendance at Steve Wasby’s Supreme Court presentation. The “Key Project” is being planned for March. The partitions in the meeting room are not working well, not sound proof; there are issues with the shades in the same room, missing sunscreens. The museum passes will soon be available for booking online after a few issues are worked out. The Wednesday extended hours are going well.
7. OLD BUSINESS: Sharon reported that the brochure for Dedication Week is at the printer; 50 will be available in larger print. Diane Hall is coming in to look at food service space. Bags and rulers from Seamen’s, bottled water, schedules, flyers of upcoming activities, etc will be in the bags to be given out. The Nauset High Treble Chorus is set to sing after the speakers. Staff and volunteers will need to park at town hall on the day of the event. Coat racks will be delivered on Friday the 3rd, set up for two days and then be picked up at a cost of $134. Dave signed the “notice of intent” letter for the Conservation Committee. Large pitch pine will be dealt with first. Permission from the Gibsons and the Hurds for tree removal has been acquired. The Pond Neighbors will also receive the notice. The Trustees will meet with them on February 11. Work will proceed at ConCom’s direction to be determined at a meeting with that committee on February 14th. Patron letters will be sent out soon; Deb will ask for volunteers to help.
8. NEW BUSINESS: The circulation desk will be installed on Tuesday the 31th. Workers will arrive at 6:30 a.m. Children’s circ desk is a month behind. Sheila has a certificate of substantial completion, which she will sign after she addresses issues with Dan. $112,000 worth of work is still to be completed. She has received no as-builts or O and M manuals, which have been promised. After these issues are finalized we should receive the permanent Certificate of Occupancy. Deb has had a request from the Eastham Elementary School to hold a bake sale in our lobby but the Trustees are not in favor.
9. ELBFI: Al reported on the donor recognition party on Friday, February 3rd. PB Boulangerie will be catering. Movie to follow. We are $4,000 from the goal of a $1million from donations, grants, etc. Expenditures total $483,000.
10. FRIENDS: The Friends will have a table for information during dedication week. Their recent bulletin resulted in the member numbers swelling to about 1,000. The group is finding homes for “roadies” working on the Mass Memories Road Show in May.
11. STAFF AND VOLUNTEERS: No report
12. PUBLIC PARTICIPATION: None
13. NEXT MEETING: February 11th, 2017 in the large meeting room.
14. ADJOURN: The meeting was adjourned at 10 a.m.
