April 7, 2008 Meeting Minutes
Volunteer Incentive Committee

Meeting minutes – April 7 2008

The meeting was called to order at 7:15 pm by co- chair Ron Masters. Present were Marie De Sousa, Gil Hayes, Cal Meyers, Dave Lockwood Dan Schnobrich and Ron Masters. Absent were Jim Barton and Mike Balf.

The minutes of the Jan 21 meeting were reviewed. A motion to accept was made by Gil Hayes and seconded by Dave Lockwood. The motion carried.

Both departments have not finished obtaining the data for the last quarter (Jan, Feb, and Mar). However both departments feel that the totals for this quarter will be close to the average for the year. If this holds true, there will be a surplus of about $27,000 remaining in the account. The committee agreed that this surplus will be used to help get the program on to a July to June payout schedule. However, to truly get all of this fiscal years expenditures paid by June 30, the incentive program will need an added appropriation of approximately $15,000. The committee agreed to approach the Selectmen for this added appropriation as soon as the last quarter’s data was available.

Both departments were asked to see if they could gather data on a monthly basis. This will be particularly important for the next three months in order to allow the program to get on a fiscal year basis. Broad Brook was not sure if they would be able to do this but would certainly try. Marie indicated that the Treasurer’s office wants all invoices submitted by June 22 if possible. This obviously won’t be possible for fire calls that occur after the 22nd.

The committee agreed to prepare a revised Incentive Program which increases the pay per call and the officers pay. If approved by the Board of Selectmen and funds were available, this new program could begin Jan. 1 2009.

The next meeting was scheduled for May 12 at 7 pm at the Broad Brook Fire station. The meeting was adjourned at 8:20 pm.

Respectfully submitted,
Ron Masters   co-chairman
