MINUTES OF REGULAR MEETING
Monday, March 19th, 2012 @ 6:30 pm
Raymond Library, 840 Main St. E. Hartford, CT 06108
PRESENT: Florence Schroeter, Rose Tavtigian, Debra Arrieta, Pat Jones, Librarian, Lisa McMahon, Gloria Visgilio-Lupi, Valarie Scheer, and Charles Casella
ABSENCES: Tony Foran, and Anita Morrison
Also in attendance: Mary Martin, Project Administrator, Raymond Library Addition
CALL TO ORDER: The meeting was called to order at 6:30 pm.
The Commission welcomed new member Valarie Scheer.
APPROVAL OF MINUTES: The minutes of Feb. 5th, 2012 meeting were approved with the amendment that the two items under new business should have ended with “at the March meeting”.
LIBRARIAN’S REPORT
The Librarian introduced Ms. Martin who informed the Commission of the issues that must be resolved before the Library Addition Project can begin construction.
They are:
- Finalize lease agreement between Town and Raymond Library Company;
- Secure architectural design services to complete design;
- Finalize grant documents;
- Submit finalized plans to Town for review and approval;
- Publish approved plans for construction proposals (RFP);
- Evaluate proposals and select contractor;
- Begin construction
Ms Martin also indicated that here are other issues. They are:
- Identification of/and possible acquisition of additional Library parking.
- Integration of the King Museum of Aviation and Tobacco throughout the Library. To this end a committee has been formed and Commission member Tony Foran is a member.
- Addressing the issue of the many leaks in the existing flat roofed facility and replacement of existing HVAC.
Ms Martin noted that issues concerning execution of grant documents and bid waiver for the selection of the architectural design services firm would be before the East Hartford Town Council on Tuesday April 3rd, 2012 at 7:00pm. Mary thought that attendance by Commission members could help move the project closer to completion.
CHAIRMAN’S REPORT
The Chairman reported that he had been invited to join the Mayor’s Working Group for construction of the Library addition. The group meets biweekly on Thursdays at 1:30pm. The Librarian is also a member of the group.
