MINUTES
CHILMARK LIBRARY TRUSTEES MEETING
June 18, 2012

Present: Trustees Norman Freed, Jane Slater and Janet Weidner; Library Director Ebba Hierta, Librarian Kristin Maloney.  

Public: Brian Ditchfield.

Meeting called to order at 9:02 AM.  We approved the minutes of the May meeting as submitted.      

Group Reports: The building and grounds group reported that the tree that was planted in honor of Jackie Sexton is not doing well and will be replaced in the fall.  We also discussed our short term parking idea again.  Ebba has spoken with the Police Chief about the concept and is waiting to hear back as to whether our proposed signage is appropriate.  The program group reported that the summer lecture series has been set.  There will be ten speakers this summer.  

Financial Reports: The May financial reports were discussed.  We expect to end the fiscal year on target.  

Old Business:  The principal of the Chilmark School had approached the Library regarding the possibility of moving the school program to a day other than Monday.  The Library is open to the possibility; the principal and the library director agreed to discuss this concept further next year.  

New Business: We discussed the possible impacts of the West Tisbury Library construction over the next year or so.   Since they will be operating out of a much smaller space during the construction period, we will likely have more demand for our materials.  The West Tisbury library director approached Ebba about the possibility of their use of our meeting room for some of their programs; we feel we can accommodate them.  Ebba was also asked about the possibility of using the West Tisbury staff as “volunteers” in the Chilmark Library; West Tisbury would continue to pay their salary.  We are hesitant about that; we don’t really need the help and integrating new staff, even temporarily, can be time consuming.  

Ebba mentioned that a staff member of the Martha’s Vineyard Film Festival approached Ebba recently about whether the Library would be willing to put a DVD collection of the Cinema Circus offerings on our shelves.  The Film Festival would like the collection shelved as a group, e.g. under the title of Cinema Circus.  Ebba said that the Library would be happy to offer the DVDs but that we do not catalog offerings in that fashion.  

Public Comment: Brian Ditchfield was present at our meeting, representing the Martha’s Vineyard Film Festival.  With regard to the on-going parking issues between the Library and the Community Center, Brian offered that the Film Festival is trying to have their staff park at Beetlebung Farm.  He also said that the Film Festival will work with the Library to make the Film Festival’s videos available to the public using whatever shelving system we have.  

Meeting adjourned at 9:57 AM.  Next meeting will be July 23rd at 8:30 AM.
