MINUTES
CHILMARK LIBRARY TRUSTEES MEETING
March 5, 2012

Present: Trustees Norman Freed, Jane Slater and Janet Weidner; Library Director Ebba Hierta.

Meeting called to order at 9:06 AM.  We approved the minutes of the January meeting as amended.    

Group Reports: The Art Group reported that the Library is booked for the rest of the year for art shows.  The school will be having the children’s art show in our meeting room in March.  The Building and Grounds Group reported that the meeting room was recently painted.  The room is so heavily used that there’s quite a bit of wear and tear.  The Program Group provided information on a new program for mothers and infants that will begin soon at the Chilmark Library, sponsored by MV Community Services.  Community Services will provide a group leader and will conduct the program – the Chilmark Library will be providing the physical space.  The program will take place weekly after the Tuesday morning story hour.      

Old Business: The budget hearings have concluded.  The FinCom decided to support the Library’s conversion to the CLAMS program.  To help alleviate the growth in the budget, the Library’s utility expenditures will be moved out of the Library’s budget and into the Town’s utility line item in the budget.  This will reduce the mandatory minimum materials expenditures. The Friends of the Library are funding $25,000 of start-up costs, which helps substantially with the CLAMS conversion.  

The Trustees thanked the Library Director for her efforts on the Library budget during this budget season.  

New Business: We discussed the need for a library policy on pornography viewing on library computers.  The Library Director will review policies of other island libraries, and we will discuss a proposed policy at our next meeting.  

We also discussed the CLAMS conversion process. The Library Director recently met with the director of CLAMS in Hyannis to outline steps that could be taken to ensure a smooth transition.  For example, the Chilmark Library can begin to get the current patrons registered in CLAMS and will modify circulation policies to be consistent with CLAMS, such as the length of time materials can be borrowed.
