MINUTES
CHILMARK LIBRARY TRUSTEES MEETING
June 20, 2011

Present: Trustees Norman Freed, Jane Slater and Janet Weidner; Library Director Ebba Hierta.

Meeting called to order at 8:35 AM.  Minutes of the May 2011 meeting approved with modifications.  

Building and Grounds Report:  One of our summer employees is also a landscaper and is developing a landscape plan for the Library’s grounds.  One of the goals will be to clean up the area along State Road.  The plan will include locations for future memorials.  

Program Report: The summer line-up has been established, including programs for thirteen Wednesdays and four Thursdays.  This is about the same number of programs as last year.  

Old Business: We discussed the possibility of the Chilmark Library participating in an e-book program through a membership in CLAMS.  This would allow our library to download e-books from a central server.  There would be an initial cost (conversion fee) of about $20,000 - $25,000 for us to join CLAMS.  Beyond that, there would be an annual fee of $15,000.  Despite the budgetary implications of participating in this program, the trustees feel that e-books are the wave of the future.  We need to investigate the possibilities further.  It was suggested that Ebba might float the CLAMS membership, e-book concept and potential costs at an upcoming FinCom meeting later this summer, to get some feedback as to how the Town might finance this.  The trustees voted to endorse Ebba bringing this topic up at that meeting.  

New Business: We discussed the school program for the coming school year.  There will be four classes next year, instead of three, because of the addition of a second K-1 classroom.  We discussed several possibilities as to how the Monday school library schedule might accommodate this fourth class.  The trustees support a proposed  approach for this coming school year which would have each K-1 class visit the library on alternate Mondays, while the 2-3 and 4-5 classes would continue to visit the library every Monday.  If enrollment continues to require four classes for the next school year, a longer term solution may need to be developed.
