MINUTES
CHILMARK LIBRARY TRUSTEES MEETING
September 29, 2009


Present: Trustees Norman Freed, Jane Slater and Janet Weidner; Librarian Kristin Maloney.

Meeting called to order at 9:00 AM.  

Minutes of the August meeting were approved.  

Art Group: We had another successful summer season in which we were able to showcase a number of artists.  There is a waiting list for the next two summers.  

Building and Grounds: The Garden Club awarded a commendation to the Chilmark Library for beautifying the library’s grounds.  Also, exterior trim painting is underway.  This is a budgeted item for the current fiscal year.  

Program Group: The library staff feels that conducting a single special program per week (versus the two per week that were held last summer) was much more manageable.    

Financial:  The latest financials were distributed.  No unanticipated expenses yet this fiscal year.  

Chairman’s Report:  We have not reached the Brickner family yet, for their guidance as to how to handle disbursement from the Elisa Brickner Poetry Fund.  

Also, Norman voiced his concern with the look of the pole that is supporting our new light in the parking lot.  We decided that the trustees would take a look at the pole over the next month and discuss options (e.g. sanding and re-painting) at our next meeting.  

Director’s Report: We reviewed the director’s report.  It was noted that, for the month of August, attendance and circulation numbers were down for the first time in a long time.    

Kristin informed the trustees that the Chilmark Library’s open house will be combined with curriculum night at the Chilmark School, scheduled for 7 October.  This will provide an opportunity for parents to become more familiar with the program that the Library offers to the school.  

Old Business: We continued last month’s discussion of the tree that we are planning to plant in memory of Jackie Sexton.    

New Business: State aid update will likely be reduced in the coming fiscal year.  We can expect reductions in regional services such as the inter-library loan program and staff training opportunities.
