Date of Meeting: Monday, April 23, 2007
Location: Town Hall, 221 Main Street
Time: 6:40PM – 7:25PM
Members Present: Chairman James Stanton, Ken Sydow
Members Absent: Roger Deal, Town Counsel Angelini
Others Present: Suzanne Olsen, Town Administrator; Lori Esposito, Administrative Assistant
The meeting was called to order at 6:40pm.
Financial warrants were signed in approval. However, the school payroll was unsigned again. Jim Stanton asked Sue Olsen to return the warrant to school administration for signatures or checks won’t be released. Next time, the Town Accountant is to return any unsigned payroll and not include it in the warrant. Sue Olsen will communicate this to the school administration.
A scheduled agenda item for Quinn Engineering hearing was cancelled due to Planning Board meeting rescheduled to May. They want to finish with the Planning Board before meeting with Selectmen.
Elementary School State Audit: Sue Olsen updated the Board: the next part of the audit to be completed within 60 days by school administration.
Expense Reimbursement Policy: Board discussed new policy to be in place for expense reimbursements.
- All will need to be signed by the department manager, department head or Town Administrator (at least one level of management higher).
- Sue Olsen drafted a memo for the policy and will distribute to personnel.
- Ken Sydow suggested a dollar limit that would require two signatures; perhaps set a dollar amount for each department. Jim Stanton asked Ms. Olsen to add a similar statement re: capital expenses to be approved.
Town Administrator’s Report:
Accounting software: Two bids were received. Ms. Olsen and Town Accountant Dan Haynes reviewed the bids, and they will be awarding to Unifund. The goal is to be up and running by 7/1/07.
Plumbing/Gas Inspector: possible vacancy in near future. Eric Johnson may be going overseas to work; he’s in the process of applying and interviewing now.
School Administration: Complaining because a few people are sick and they believe it might be due to mold or some irritant in the building. Sue is addressing it and will have air quality tested.
Meeting adjourned at 7:25p.m.
Respectfully Submitted,
Lori Esposito
Administrative Assistant
